A walkthrough estimate costs you an hour: drive there, look around, drive back, write the quote. Many owners do three or four a week, and fewer than half turn into clients. Here is how to give house cleaning estimates without a walkthrough, and when you still need one.

Why clients prefer a price first

Most people asking for a cleaning price are not ready to let a stranger into their home to look around. They want a number first. A company that says "we need to see the home" loses them to the one that says "$165 every two weeks". The walkthrough feels like a sales visit; the price feels like respect for their time.

What you need to know to quote

Six questions give you enough to price 90 percent of homes:

  1. Type of cleaning: standard, deep, or move-in and move-out
  2. Bedrooms
  3. Bathrooms
  4. When it was last cleaned professionally
  5. Pets, and how many
  6. Extras: inside the fridge, oven, cabinets, interior windows, baseboards

Square footage helps too, but most people do not know theirs. Bedrooms and bathrooms they know by heart.

Build a price list from those answers

Use the same structure every time:

  • Base price for the visit, for example $140 for a standard cleaning
  • Per bedroom, for example $35
  • Per extra bathroom, for example $25
  • Extras at a fixed price each
  • Frequency discount: 15 percent weekly, 10 percent every two weeks, 5 percent monthly

Quote a range, confirm at the first visit

Always quote a range and say how you confirm it: "Every two weeks runs $155 to $175 for your home. We confirm the price at the first cleaning." This protects you from the home that is twice as dirty as described, and it is honest with the client.

For homes not cleaned in a long time, say up front that the first visit is a deep clean. Most clients already expect it.

Ask for photos when in doubt

For move-outs, heavy pet homes or anything unusual, ask the client to text photos of the kitchen, the worst bathroom and one bedroom. You will know in 30 seconds if the range is right. It is faster for both of you than a visit.

When you still need a walkthrough

  • Homes over 4,000 square feet
  • Post-construction cleaning
  • Hoarding or heavy clutter
  • Offices with special requirements
  • Clients who ask for one, which is fine, but book it as the start of the first cleaning when you can

Let the client quote themselves

The best estimate is one you do not have to give. A calculator on your website asks the six questions, applies your prices and discounts, and shows the client the price per cleaning and the monthly total. Follow up on every quote

People who get a price and do not book usually just got busy. A text two days later ("Would you like to start next Tuesday or Thursday?") books about one in four of them. Offer two specific days; it is easier to pick than to decide.

Write down what is included

Most disagreements after a cleaning come from expectations, not from the price. Put a simple list on your website and in every quote: what a standard cleaning includes room by room, what a deep clean adds, and what is always extra. "Inside the oven is an extra $40" written before the visit is a sale. Said after the visit, it is a complaint.
